Executive Virtual Assistant
About Say It Soft Society
Say It Soft Society is an emotional command company. We build the tools, frameworks, and systems that give people precise language for what they carry and the capacity to operate from it. Our flagship product is a 32-card language deck currently available for pre-order, shipping fall 2026. We work primarily with therapists, life coaches, and licensed practitioners who use our tools with clients. We are early-stage, founder-led, and building infrastructure on purpose.

What This Role Exists to Do
This role exists to keep the operation moving while the founder focuses on building the brand. The founder handles all strategy, content creation, copy, and closing. You handle the execution: consistently, completely, and without needing to be reminded.
This role starts at 5 hours per week with a clear scope. As SISS grows and the working relationship matures, there is real potential for hours and responsibilities to expand. We are building infrastructure on purpose. The right person grows with the brand.
Core Responsibilities
- Send outreach emails using pre-written, approved templates and a contact list the founder provides
- Follow up on unanswered emails after 24hr, on schedule, every time
- Book qualified calls directly onto the founder's calendar
- Send confirmation and reminder emails to booked contacts
- Track every contact in a clean pipeline: emailed, responded, call booked, call completed
- Flag anything unusual before it becomes a problem
- Post approved content to Instagram on schedule as provided by the founder
- Respond to comments in a way that reflects the brand voice
- Engage with target accounts including therapists, counselors, coaches, and wellness communities
- Report weekly on engagement numbers and notable activity
- Upload blog posts and written content to the website as provided by the founder
- Make minor edits and formatting updates as directed
- Ensure published content is accurate and consistent with brand standards
What We Are Looking For
- Deeply organized and systems-minded. You build your own routines and manage workflows without being told. This is the single most important quality for this role.
- Reliable above all else. Deadlines happen because you make them happen. You do not need to be reminded.
- Thinks ahead. You anticipate what is coming and prepare before you are asked.
- Proactive communicator. You check in, flag problems early, and ask when something is unclear.
- Comfortable in wellness or personal development spaces. No credentials required. Just genuine fluency.
- Strong with social media execution. Not creation. Execution. Consistent, on-brand, measured.
- Willing to give honest feedback. If something could land better, say so. We want a thought partner, not just a task executor.
Nice to Have
- Familiarity with Squarespace. Our website lives there. Knowing your way around it is a head start.
- Experience in wellness, coaching, or mental health spaces. If you have worked with brands in this world, you already speak the language.
- Instagram community management experience. If you have grown or managed a community account, that translates here.
- Background supporting a founder-led brand. You understand what it means to hold someone's vision carefully and execute without making it your own.
What This Role Is Not
- Not a content creation role. The founder writes all copy and sets all strategy. You post and engage.
- Not a research role. The founder provides the contact list. You work it.
- Not a closing role. You get people on the calendar. The founder takes it from there.
- Not a strategy role. Direction comes from the founder. You execute it well.
This Is Not the Right Fit If
- You are building or promoting a competing emotional intelligence product, language tool, or card deck brand.
- You need substantial direction to begin a task. This role requires self-management from day one.
- You are looking for passive or low-touch work. This role requires responsiveness and weekly presence.
- You cannot maintain strict confidentiality. You will have access to internal strategy, communications, and business operations.
